For CPAs, insurance agents, attorneys and advisors
They chose you before they ever called.
A portal for documents. Nothing important in an email thread.
Nobody rings three accountants to compare. They look all three up, decide which one seems most competent, and call that one. The decision happens on the page, before you know they exist.
How it usually goes
First
He looks up three firms. Doesn’t call any of them yet.
Then
Decides which one seems most like it knows what it’s doing.
Only then
Rings that one. The other two never hear from him.
The decision happened on the page, before you existed to him.

Where it leaks
Four things I see again and again.
Not a list of everything that could be better — the four that actually cost this trade money.
01
Documents flying over email
Sensitive paperwork in an inbox is the norm in this category and the thing clients notice most when it’s handled properly.
02
No sense of who you are
In a trust business, a site with no faces and no story is asking for a leap of faith.
03
Nothing to capture the ready ones
Someone decides at 10pm they need help. No way to start means they start with someone else.
04
Seasonal panic every year
Tax and renewal seasons flood the phone, and nothing is set up to sort the urgent from the routine.
Where I’d start
A client portal and proper lead capture
Documents, signatures and messages in one place with a login instead of an email chain. And a real intake route so someone who has decided at 10pm can start there and then, with the reply going back automatically.
How the plumbing works →And after that
The rest of the toolbox, when it fits.
One partner for the whole thing rather than five vendors — but only the parts that earn their place. And I work with one business per category in Klamath Falls, so I’m not building this for your competitor next month.

FAQ
Answered straight.
My clients aren’t online.
Some aren’t. But the ones replacing them are, and they judge a practice by its site before they ever ring.
Is a portal secure enough for client documents?
It has to be, and I’ll be plain about what a given setup does and doesn’t cover rather than hand-waving it.
I get everything by referral.
Then the site’s job is to not lose them. A referral still looks you up, and what they find decides whether the introduction survives.
